How we handle your details

This page is for anyone who visits tpscout.com, sends us a message, asks for a demo, or works with us as a customer or partner. It tells you what we hold about you, why, and how to make us change or delete it.
1. Who is responsible
TP Scout is a product of Bytes Bender SRL, a company registered in Romania. Bytes Bender SRL decides how your details are used, so under the GDPR it is the controller.

We have not appointed a Data Protection Officer. Write to the address above and a person from our team will answer.
2. What we hold about you
- If you use our contact or demo form: your name, work email and organization, and anything else you choose to fill in, such as your role, the type of your organization, your objective or your message.
- If you write to us or meet us: your emails, our replies, and notes about what we agreed.
- If your firm becomes a customer or partner: your name, job title and work contact details, and what we need to set up and bill the service.
We do not ask for sensitive data, so please do not put any in a message. We do not build a profile of you, and no decision about you is made by a machine.
3. Where we get it
Almost always from you: through a form, by email, or in a meeting. Sometimes a colleague of yours gives us your details, for example to add you to a demo or to name you as the contact for your firm's account. We never buy contact lists.
4. Why we use it, and on what legal basis
- To answer you and arrange a demo. You asked us to, so the legal basis is steps taken at your request before a contract, under Article 6(1)(b) of the GDPR.
- To follow up after a demo or a conversation. The legal basis is our legitimate interest in keeping in touch with firms that showed interest in TP Scout, under Article 6(1)(f). You can tell us to stop at any time.
- To provide the service to your firm. The legal basis is the contract with your firm, or our legitimate interest in working with the people your firm names as its contacts.
- To issue invoices and keep accounting records. The legal basis is our legal obligation under Romanian tax and accounting law, under Article 6(1)(c).
We do not add you to a newsletter, and we do not send you marketing you did not ask for.
5. Who else sees it
A few service providers handle your details for us, only on our instructions:
- our form-delivery service, which passes what you type in a form to our inbox;
- our email provider, which carries and stores our messages;
- our website host, which delivers this site and counts its visits;
- our accountant, for invoices, if your firm becomes a customer.
We do not sell your details, and we do not give them to anyone for their own marketing. We would share them with an authority only if the law required it.
6. Data outside the EEA
Some of these providers may handle data outside the European Economic Area. When they do, we rely on a safeguard the GDPR recognises: an EU adequacy decision, such as the EU-U.S. Data Privacy Framework, or the EU Standard Contractual Clauses. Ask us at the address above and we will tell you which safeguard applies and how to get a copy.
7. How long we keep it
- Enquiries and demo requests: we delete them 12 months after our last exchange, unless your firm becomes a customer.
- Customer and partner contacts: we keep them while we work together, and delete them 12 months after the relationship ends.
- Invoices and accounting records: we keep them for as long as Romanian tax and accounting law requires.
- You ask us to stop: we delete everything we are not required to keep, except your email address and the date you asked. We keep those two so that we never write to you again.
8. Your rights
You can ask us, at any time and free of charge, to:
- show you what we hold about you;
- correct anything that is wrong;
- delete your details;
- stop using your details while we look into a concern you raise;
- give you the details you gave us, in a common file format.
You can also object, at any time, to any use of your details that relies on our legitimate interest. Reply "no" to any of our messages, or write to office@tpscout.com. If you object to follow-up emails, we stop the same day. This is your right under Article 21 of the GDPR.
We answer every other request within one month.
9. Complaints
Please tell us first, and we will try to put it right. You also have the right to complain to a data protection authority:
- in Romania, where we are based: ANSPDCP;
- in the United Kingdom: the Information Commissioner's Office (ICO);
- in Switzerland: the Federal Data Protection and Information Commissioner (FDPIC);
- anywhere else: the authority in the country where you live or work.
10. Visiting tpscout.com
This site sets no cookies. Our fonts and images come from this site, not from a third party. Our website host counts visits without cookies. It records which page was opened, the referring site, your country and your browser type, and it shows us only totals. To deliver the page and work out the country, the host handles your IP address briefly, and we never see it. Our legal basis is legitimate interest in keeping the site working and knowing that people can reach it.
When you send a form, what you typed goes to our form-delivery service, which emails it to us. If sending fails, the page offers to open your own email program with your message filled in.
The LinkedIn icon leads to LinkedIn, which has its own privacy notice.
11. Data inside the TP Scout product
This page does not cover the data a customer firm uploads into TP Scout or the results the product produces. For that data, we act on the customer's instructions, under our agreement with that firm. If your details are in such data, please contact the firm that uses TP Scout.
12. Changes to this page
If we change how we handle your details, we update this page and the date at the top.
